Mail and notifications

The D-LIS system

Feature 10 of 13

Mail and notifications

The site writes letters by itself: it tells you about a new message, confirms it to the sender, sends out the newsletter. You set the text of those letters and the connection to your mailbox in the panel — without looking into server files.

What you get

Letters from your domain, in your own words

  • Two letters from one form

The notification for your team tells you somebody has written. The confirmation for the sender tells them the message arrived. Both have their own subject and text, and the confirmation can be switched off with one toggle.

  • Tokens instead of stitching text together

In the template you write {serwis}, {imie}, {email}, {telefon}, {temat} and {tresc}, and the site puts the real details under them on every send.

  • A header and footer for every letter

A fixed opening and closing wrap every message — the newsletter and a form submission too. You write them once, not separately in every template.

  • Plain text or HTML

You pick the format for all templates at once. An HTML letter goes out in two versions: the styled one and a text one for programs without HTML — spam filters expect that second one too. A typo in a token is caught by the panel on save, not in the recipient’s inbox.

  • The connection to your mailbox

Sender, SMTP server, port, user and password — with TLS or SSL encryption. The password lies in the database encrypted with your server’s key, so not even a backup file hands it over. Before you go live, mail can work “to the console” — nothing leaves for the outside world then.

  • A test send and a trace of the error

One button sends a letter to an address you give. When the mail server refuses, the panel shows you its answer, and the event stays in the log, in the Mail area — the customer’s message is already saved in the panel inbox by then, so nothing is lost.

What it looks like day to day

Three steps in the panel

  1. 01

    You enter your mailbox details

A sender address from your own domain, the SMTP server and the password. Most servers will not send a letter from someone else’s domain — the panel warns you about that right by the field.

  2. 02

    You send a test letter

A button in the Mail configuration tab sends a message to your address. If it does not arrive, you see the server’s answer, not just “it did not go out”.

  3. 03

    You polish the template text

You change the subject and text of the notification, switch on the confirmation for the sender and add a footer with your own signature.
